Faxing in Minotaur By Liz Willson
Standard Report Faxing
Our standard Minotaur GUI system has the ability to fax reports while they are on screen, using whatever third party software (i.e. Winfax or MSFax) you have available (similar to faxing from MS Word etc.). This requires that whomever is doing the faxing have access to a modem and some type of fax software. This access can either be on the local PC or on a fax server which provides access via a print driver. It also requires a database of fax numbers be maintained in the Fax software (or manually type in the fax number each time you send a fax).
Laserform Faxing
Minotaur has the capability of printing laserforms (i.e. your invoices with your logos, required field boxes ect. Printed on regular laser paper), but they are not viewable on screen. If it is not viewable in screen, then it is also not faxable through standard faxing. By adding PCL Viewing Software (we have experience integrating the PCL Viewing product sold by Page Technology Marketing Inc. into Minotaur), you can convert your laserforms to be viewable on-screen. Once they are on-screen, you can then proceed to fax the form, as noted above
Batch Faxing
Minotaur has the ability to batch fax specific documents, for example, Customer Invoices. This allows you, through for example the Batch Print Invoices function, to select a range of invoices, and have them fax in a batch. The fax numbers that are used are pulled from a specific location inside the Minotaur program, which eliminates the need to keep an address book of fax numbers elsewhere. If you are interested in having this capability, please feel free to ask us for a quote, as this feature requires special hardware and customizations made to your system.
Requirements
  • Fax server/software (i.e. Castelle)
  • Batch fax functionality added by Minotaur for each type of document that you wish to batch fax (i.e. customer invoices, purchase orders, customer statements , etc.)
  • If the fax software used does not handle true PCL files (i.e. Castelle), then a PCL to TIF converter is required.
Capabilities/Benefits
  • Ability to choose when you wish to fax the documents (i.e. you can do it anytime, not just when the document is generated and on-screen)
  • The batch selected faxes out one at a time, one after the other, without input from the user, once the function has been initiated
  • Fax number database all kept within one location in your Minotaur system
